Refund & Cancellation Policy

This policy explains the terms under which refunds and cancellations are handled for Trefnus CMMS licences. Please read carefully before purchasing.
1. Digital Product Acknowledgement
Trefnus CMMS is a digital software product delivered electronically. By purchasing and activating a licence, you acknowledge that:
- The product is delivered instantly upon purchase and licence activation;
- You have immediate access to the full functionality of the Application;
- Digital products are not returnable in the traditional sense due to their nature as electronically delivered content;
- You consent to the immediate supply of digital content and acknowledge that this may affect your right of withdrawal under consumer protection regulations.
2. Cooling-Off Period
In accordance with applicable consumer protection laws (including the UK Consumer Contracts Regulations 2013 and EU Consumer Rights Directive):
- You may request a full refund within 14 days of purchase if you have not activated the licence;
- By activating the licence during the 14-day cooling-off period, you expressly request immediate supply of digital content and acknowledge that you lose your right to cancel once the download or access has begun;
- To request a cooling-off period refund, contact us at support@trefnus.com with your purchase confirmation.
3. 30-Day Money-Back Guarantee
In addition to your statutory rights, we offer a 30-day money-back guarantee from the date of purchase.
You may request a refund within 30 days if you are not satisfied with the Application, provided that:
- You have made reasonable use of the Application to evaluate its suitability;
- The request is made in good faith;
- The request is not abusive or part of repeated refund requests.
We reserve the right to refuse refund requests where we reasonably believe this guarantee is being misused. We also reserve the right to limit or refuse refunds for users who repeatedly purchase and request refunds.
This guarantee is offered voluntarily and is in addition to your statutory rights under applicable consumer protection law.
4. Refund Eligibility
After the 30-day money-back guarantee period, refunds may be granted at our discretion, acting reasonably, in the following circumstances:
- Technical Issues: If the Application is materially non-functional and unusable for its intended purpose on your device, and we are unable to resolve the issue within a reasonable timeframe (typically 14 days from your support request);
- Duplicate Purchase: If you accidentally purchased multiple licences for the same account;
- Unauthorised Purchase: If a purchase was made without your authorisation (subject to verification).
5. Refunds NOT Granted
Refunds will generally not be granted for:
- Change of mind after licence activation outside the 30-day money-back guarantee period;
- Failure to read the product description, system requirements, or Terms of Service before purchase;
- Data loss due to clearing browser data, device failure, or any other cause (the Application stores data locally — see our Disclaimer);
- Dissatisfaction with features or functionality that were accurately described;
- Inability to use the Application due to your internet connection, device, or browser;
- Licence termination due to violation of the Terms of Service or Acceptable Use Policy. Refunds may be refused where there is evidence of misuse, abuse, or violation of our Terms;
- Issues caused by third-party software, browser extensions, or device configurations;
- Feature requests or missing functionality that was never advertised;
- Service interruptions caused by third-party providers or events beyond our control.
This does not affect your statutory rights.
6. Cancellation
You may cancel your use of the Application at any time by:
- Ceasing to use the Application;
- Clearing the Application data from your browser;
- Uninstalling the PWA from your device;
- Contacting us to request account and licence deactivation.
Upon cancellation:
- No further charges will apply (if applicable to your licence type);
- Your licence will be deactivated;
- You will retain access to any locally stored data until you clear your browser data;
- No partial refunds are provided for unused portions of a licence period.
7. Subscription Cancellations (If Applicable)
If your licence is subscription-based:
- You may cancel at any time before the next billing cycle;
- Access continues until the end of the current paid period;
- No refunds are provided for the remaining days of the current billing cycle;
- Cancelled subscriptions will not auto-renew;
- You may reactivate your subscription at any time.
8. How to Request a Refund
To request a refund:
- Email support@trefnus.com with the subject line "Refund Request";
- Include your email address associated with the licence;
- Provide your purchase date and confirmation/receipt number;
- Describe the reason for your refund request;
- Include any relevant screenshots or error messages (for technical issues).
We will review your request and respond within 5 business days. Approved refunds will be processed within 14 business days to the original payment method.
9. Refund Processing
- Approved refunds are processed to the original payment method;
- Processing times may vary depending on your payment provider (typically 5–14 business days);
- We are not responsible for delays caused by payment processors or banks;
- Upon refund, your licence will be deactivated immediately.
10. Price Changes
We reserve the right to change pricing at any time. Price changes:
- Will not affect existing, active licences for their current term;
- Will apply to new purchases and renewals;
- Do not entitle existing users to a refund based on the price difference.
11. Consumer Rights
Nothing in this policy affects your statutory rights as a consumer under applicable law. If you are a consumer in the United Kingdom or European Union, you retain all rights granted to you by applicable consumer protection legislation, and this policy should be read in conjunction with those rights.
Under the Consumer Rights Act 2015, digital content must be of satisfactory quality, fit for purpose, and as described. If the Application is faulty, not as described, or does not perform with reasonable care and skill, you may be entitled to a repair, replacement, or refund in accordance with applicable law.
This policy applies to both business and consumer purchases. Some rights described may apply only to consumers under applicable law.

If you are unsatisfied with the outcome of a refund request, you may:
- Request a review by emailing legal@trefnus.com;
- Use the dispute resolution procedures outlined in our Terms of Service;
- Contact your local consumer protection authority.
