Acceptable Use Policy

This Acceptable Use Policy ("AUP") governs your use of Trefnus CMMS and forms part of the Terms of Service. Violation of this policy may result in suspension or termination of your licence.
1. Intended Use
Trefnus CMMS is designed and licensed exclusively for legitimate maintenance management purposes, including:
- Tracking and managing physical assets and equipment;
- Creating and managing work orders and maintenance tasks;
- Scheduling preventive and corrective maintenance;
- Managing maintenance contracts and service agreements;
- Recording maintenance history and generating reports;
- Managing to-do lists related to maintenance operations.
2. Prohibited Uses
You may NOT use the Application to:
- Store, process, or transmit content that is illegal, harmful, threatening, abusive, defamatory, or otherwise objectionable;
- Store sensitive personal data of third parties (e.g., social security numbers, medical records, financial account numbers) except where strictly necessary for legitimate maintenance management purposes and handled in compliance with applicable data protection laws;
- Violate any applicable law, regulation, or industry standard;
- Infringe upon the intellectual property rights of any third party;
- Attempt to gain unauthorised access to the Application, other accounts, or systems connected to the Application;
- Interfere with, disrupt, or overburden the Application's infrastructure or licence verification systems;
- Reverse engineer, decompile, disassemble, or attempt to discover the source code of the Application;
- Circumvent, disable, or tamper with any licence verification, device limitation, or security features;
- Use automated scripts, bots, or other automated means to access the Application;
- Share, resell, sublicence, or redistribute access to the Application;
- Use the Application to create a competing product or service;
- Store or process data subject to specific regulatory requirements (e.g., HIPAA, PCI-DSS) unless you independently ensure compliance;
- Use the Application in any manner that could damage, disable, or impair the Application;
- Probe, scan, or test the vulnerability of the Application or any associated system or network;
- Use the Application in any manner that is unreasonable, abusive, or inconsistent with its intended purpose.
3. Account Responsibilities
You are responsible for:
- All activity that occurs under your account and on your registered devices;
- Maintaining the security of your account credentials and local password;
- Ensuring that any employees, contractors, or other users accessing the Application through your account comply with this AUP;
- Promptly reporting any security breaches or unauthorised use;
- Ensuring the accuracy and legality of all data entered into the Application.
4. Device Usage
- You may activate the Application on up to the maximum number of devices permitted by your licence (currently 5);
- Each device activation consumes one device slot that persists until manually released;
- You must not attempt to circumvent device limits through any technical means;
- You are responsible for the security of all devices on which the Application is activated.
5. Data Responsibility
You acknowledge and agree that:
- You are solely responsible for all data entered into the Application;
- You must have all necessary rights and permissions to enter data into the Application;
- You must comply with all applicable data protection laws, including UK GDPR and the Data Protection Act 2018, when entering or processing personal data of employees, contractors, or other individuals;
- You are responsible for maintaining backups of all data;
- You must not enter data that could expose Trefnus to legal liability.
6. Reporting Violations
If you become aware of any violation of this AUP, please report it to us at legal@trefnus.com.
7. Enforcement
We reserve the right to:
- Investigate any suspected violation of this AUP;
- Suspend or terminate your licence, including without notice where reasonably necessary, for violations;
- Remove or disable access to any content that violates this AUP;
- Report violations to law enforcement authorities where appropriate;
- Take any other action we deem necessary to enforce this AUP.
No refund will be provided if your licence is terminated due to a violation of this AUP.
8. Monitoring
We are not obligated to monitor use of the Application but reserve the right to do so for the purpose of enforcing this policy.
9. Changes to This Policy
We may update this AUP at any time. Changes will be posted on this page. Your continued use of the Application constitutes acceptance of the updated policy.
